Guest Services Representative

Hotel: The Chesterfield Palm Beach

MAIN DUTIES AND RESPONSIBILITIES:

  • Ensures guests receive a warm welcome to the hotel
  • Registers guests according to procedures and law
  • Conversant in the use of the hotel’s computer system and telephone system
  • Operates fax machines and photocopiers
  • Accurate in cash handling and currency exchange
  • Compiles guest’s accounts
  • Awareness of all sales outlets within the hotel and promotes these to guests
  • Knowledgeable of hotel’s layout and allocates rooms to guests according to their needs
  • Handles and passes on any relevant information or complaints to the Front Office Manager
  • Answers reservation inquiries, while maximizing occupancy and revenue
  • Knows all hotel promotions
  • Acknowledges all regular guests and VIPs and their requirements
  • Reconciles bank at the end of the shift
  • Performs courtesy callbacks to all guests within 15 minutes of arrival
  • Informs the Manager on Duty is aware of arrival of VIPs
  • Ensures the reception area is clean and tidy at all times and well stocked with guest stationary, brochures, apples, cookies and candies
  • Ensures that any account to company/voucher accounts have the relevant correspondence attached
  • Answers telephone calls quickly and efficiently
  • Ensures faxes and messages are given to guests at the earliest opportunity
  • Responsible for making sure that there is an accurate hand-over at the beginning and end of each shift
  • Works closely with housekeeping department, reservations, concierge, and night staff
  • Remains constantly aware of security and safety and reports or acts appropriately upon any suspicious event or person
OTHER DUTIES AND RESPONSIBILITIES:
  • Perform any other duties as requested by the Front Of The House Manager, Front Office Supervisor, General Manager, or other members of the management staff
  • Attend meetings, training seminars as needed
  
SUPERVISORY RESPONSIBILITIES:


None.

QUALIFICATIONS, SKILLS & KNOWLEDGE REQUIREMENTS:

High School degree or equivalent.  Previous hotel experience, hospitality training and customer service at the highest level. Knowledge of computers and hotel systems. Good math skills. Multi task oriented.
